Job Title: Administration and Finance Manager Grade…A2...

Required Qualifications: Degree (Accounting) or Equivalent

Responsible to: Executive Director Responsible for: • Finance Officer • Grants Officer • Human Resources Officer

Purpose of Job: To contribute to the goals and objectives of Kubatsirana by managing and overseeing all operational activities in regards to organisational finance, administration and sub-grants.

SUMMARY OF KEY RESPONSIBILITIES 1. Management of financial systems, books of accounts, cash flows, investments, assets, and ensuring that they are auditable 2. Responsible for overall work performance and human resource management 3. Structuring and streamlining organisational procedures and methods for efficiency 4. Participation in the leadership of Kubatsirana as a member of the executive committee 5. Any other duties as assigned by the Executive Director

SPECIFIC MANAGEMENT RESPONSIBILITIES 1. Development, support and supervision of Finance and Administration Staff and ensuring their effectiveness Responsibility

Performance Indicators: Provide financial advice, management and support for organisational funds. Provide human resource management and being responsible for the overall work performance. Develop staff skills of subordinates in order for them to effectively function in their capacities.  Plan individual staff objectives, monitor the implementation and carry out their appraisals. Use of time table and progress report meetings and feedback. Development and review of job descriptions for subordinates when ever necessary. Update individual job descriptions records. Developing systems and procedures and ensuring that general administration functions properly. Donor liaison 

2. Management of Financial Systems, Books of Accounts, Cash Follows, Investments, Assets, policies and procedures ensuring that they are auditable the are kept updates at anytime

Responsibility: Monitor accounting systems and expenditure as requested by programmes in accordance with the Accounting Manual, and as per guidelines set by the Executive Director. Approve request, allocate and manage cash flows from programmes according to requests and as per budgets allocation including salary projections. No bank overdrafts and in compliance to policies. And salaries being processed without fail .Supervise, monitor, analyse, authorise and report expenditure according to project budgets and submit periodical reports to Executive Director. Submission of reports within the stipulated dates. Supervise assets recording and updating and submit regular reports. User friendly inventory list and the assets in good use. Supervise Financial reports to donors and submit to Executive Director, responsible Programme Managers for comments and to Partners Compliance to donor deadlines or MOU. Management of the transport section. Effective coordination of program activities through the use of vehicles. Developing policies for the organisation where necessary.Present Kubatsirana Accounts and other supporting information for internal, forensic and annual audits in time when ever needed

3. Participate in the department meetings as when required, Responsibility: To set and fulfil targets set by the Executive Director and department (including annual plans, annual reports, monthly and quarterly reports) 

 4. Any other duties as assigned by the Executive Director Performance Commitment:
